Inventory

The inventory module allows you to maintain all the information about your vehicles. This is probably the most critical part of our software and care should be used when stocking in your units, especially the VIN. Our system will decode most VIN's and will fill in the key fields, but you should always verify that information.

There buttons on the lower part of the screen are used to add, delete, export and print your inventory data.

The [New] button allows you to add new units to your current inventory list. A stock number will be assigned to the unit automatically and will increment to the next number based on your starting number in the [Company Setup] module. You can edit or change the stock number but be careful not to duplicate the stock number, the system uses that number for many important functions.

The [Delete] button allows you to delete the selected stock number from your list.

The [Find] button , which you will see throughout our software, allows you to filter your list by any fields in the database.

The Print Button allows you to select the report from the available ones listed in the dropdown box connected to this button. To add more reports refer to Company setup and the report editor.

The Reports button calls up the Advanced Report module which lets you filter your data based on a number of criteria you select. You can select a range of stock numbers, years , makes models, styles, colors, Vins or miles and then click on the sort checkbox next to the field you want to sort this report by. Clicking on the All Vehciles button will preview this report. The Wholesale button will print the same report except only the wholesale vehicles will be previewed. The checkboxes on the left of this screen allow you to have certain options that can be left out from the report , i.e. the cost, or miles. Right Clicking on the All Vehicles button will allow you to edit the report.

The Export button calls the MS Excel export utility that allows you to export your selected data to Excel for analysis.

The Expenses button will allow you to add expenses and repairs to the selected vehicle.

The Stickers button will allow you to print window stickers for the selected unit. You can edit the form by right clicking on this button.

The Guide button will print a buyers guide for the selected unit. You will need to select your style from Company setup.

The Palm Button will create a file that the Palm system can use to import your current inventory.

The [Browse Vehicles] tab is a spreadsheet view of all the vehicles in your current inventory. This list may be sorted by double clicking on the column header of the field that you want to sort the list by.

If you enter a stock number to find in the Type Stock Number to Find field, the grid will refresh and show you the vehicle it found that matches the stock number you are seeking. You can also search by the last 6 digits of the vin or Make or model of the vehicle. If you click on the button next to that stock number, you be be taken to the Sales Information tab.

The [Sales Information] tab contains all the detail about that vehicle, including the main picture of that vehicle. The [Research Vehicle] dropdown box allows you to find a match of your vehicle in Carfax, Ebay and MSN Autos, with more links being added every upgrade. If your security level is high enough you will se a small green button with a white arrow next to it , clicking on that button will display more information in the grid.

If you want to change this picture click the Change Picture button, find the picture you want to use in the small window and double click to select it. The screen will refresh and your selected picture will be displayed. The Info Sheet button print out a sheet that contains the vehicle information as well as a picture for use as a handout or fax sheet. The Zoom picture button allows a full screen view of the vehicle.

The [Unit Details] tab conatins the cost of the vehicle, the vendor, the purchase date and all the primary purchase information that we felt were not appropriate for the Sales Information tab. (In case you customer is with you when you are looking for a vehicle.

The [Options tab allows you to pick from a list of features for each vehicle or create your own (see Company Setup). These options will appear on the Window stickers for each vehicle that you have selected.

The Sold tab lists all the vehicles that you have sold and transfered to History. They are kept in this list in case you have to back out a deal from history.

The Expenses tab maintains a list of all the repairs or other expenses that have been added to this vehicle. Clicking on the Repairs button will allow you to enter the expense for the selected vehicle.
